How it works

Open Worktime Tracker helps teams record working time accurately and consistently. Team leaders manage the team and review activity. Team members use the Clock to start, pause, and stop their shifts. Some teams may also ask for quick photo proof during these actions.

Team Leader

  • Send invite links to team members to join your team.
  • Review team activity by date range.
  • Choose whether photos are required when starting, pausing, or stopping shifts.

Team Members

  • Join using the invite link from your team leader.
  • Use the Clock to start, pause/resume, and stop your shifts.
  • If your team requires photos, attach a quick picture when prompted.

Using the Clock

  1. Start shift — Tap Start. If photos are required, you’ll see a photo field and the button will stay disabled until a picture is added.
  2. Pause — Use when you take a break. If your team needs a photo, you’ll be prompted.
  3. Resume — Return from a break and continue your shift.
  4. Stop shift — Finish for the day. Add a photo if your team requires it.
Tips: Take clear photos with good lighting. If upload is slow, wait a moment on the screen until it confirms. If something fails, try again once you have a stable connection.

If you forget to stop your shift

When a shift is not stopped correctly, Open Worktime Tracker will automatically close it at 6:00 in the morning. The hours are counted up to that time; if something went wrong, let your team leader know so they can review it and set a corrected stop time if needed.

Admin Dashboard (for Team Leaders)

  • Choose a date range to filter what you see.
  • Review team hours, breaks, and photo notes where applicable.
  • Copy a new invite link whenever you need to add teammates.
  • Turn “Require Photos” on or off depending on your workflow.
  • Use the “Print overview” button to generate a clean, print-friendly table of all shifts in the selected period, including auto-closed shifts, corrected stop times, and note indicators.

Auto-closed shifts

If a team member forgets to stop their shift, it is automatically closed at 6:00 in the morning by default. These automatic closures are clearly highlighted in red in the Admin Dashboard and in the printable overview, so you can quickly spot them and, where appropriate, enter a corrected stop time that will be used for all hour and print calculations. If your organisation needs a different auto-close time, just contact us and we can adjust this for you.

Printing overviews

  • From the Admin Dashboard, choose a date range and click "Print overview" to open a clean, print-friendly table of all shifts in that period.
  • Auto-closed shifts are clearly marked and will use the corrected stop time if one has been entered, so your print matches your manual corrections.
  • The print view is designed to work well on paper and as a PDF export, so you can easily share or archive monthly reports.

Common questions

  • I signed in but can’t see the Admin Dashboard.

    Only the team leader has access.

  • My invite link says it’s invalid or expired.

    Ask your team leader for a fresh link.

  • I can’t upload a photo.

    Check your connection and try again.
